Access Capture has to 'validate' each document it receives (either via Email Input or Manual Upload).
Access Capture can only support the following file types for input to it's services:
JPEG, JPG
PDF version 1.3 to 1.7 (XFA documents and PDF portfolios are not supported)
PNG
TIFF, TIF
IF your file format is anything other than listed above, it will likely be failing to pass the batch validation process.
When sending via Email Input there are a series of steps Capture takes to validate the email and attachments within the email. This is performed in the below order:
First check is made to ensure the attachment is a supported file format (see above)
The next step is Batch input validation. Valid batches are processed in the normal way. Invalid batches are accepted in Capture, but will show with the Input failed status.
Invoices with Input failed may have failed due to the following reasons:
The batch contains only blank pages
The batch contains two leading blank pages, and an odd number of total pages
Corrupted file
Email attachment validation rules can have one of three possible outcomes:
Valid attachment - a file type that Access Capture can process and which is readable
Invalid Attachment - a file type that Access Capture can normally accept, but is not possible due to the file being corrupt
Unsupported Attachment - a file type that Access Capture cannot process, due to the file type, or if an image is too small (height less than 1,000 pixels) or to large (maximum of 10,000 by 10,000 pixels)
Some documents can cause problems for Capture and may simply not appear either via manual upload or via email and they will not even be flagged as Discarded. This is probably because even though the attachment itself is a valid attachment type, some of the pages in the document contain content (often photographs) that Capture cannot process and the entire process silently fails. In this case, it may be necessary to edit the original attachment to remove the problem page (if possible) or to ask the supplier to provide the attachment without the problem pages.
There have been cases where although the document looks OK the internal font used during generation is not readable by Capture and in such cases the supplier changing the font, or more easily, resaving the PDF as a new PDF can resolve this issue.
A PDF can contain pages of different sizes so although the first page may be an A4 invoice, subsequent pages could be A1 size, particularly if they are computer generated invoice detail lines, and in this case the document would be rejected as too large to process even though the size of the file and number of pages are within allowed limits.
If none of the above has helped then it could be that there is an outage, please see the following Get support in Access Capture and support will investigate this for you.
